Job Description

Become a member of the innovative, exciting new Collaboration and Innovation Center (CIC) at Prompac, a leader in the flexible packaging industry. The CIC plays an important role in accelerating ProAmpac’s product development, application testing and analytical capabilities. This, in conjunction with our Collaborative Innovation process, ensures speed to market for our customers’ products.

This part-time to full-time position will be responsible for coordinating office activities and operations while providing clerical and administrative support to management and team members of the Collaboration and Innovation Center, as well as administrative support for the Rochester site as needed. The main duties include welcoming and directing visitors, coordinating meetings and appointments, and performing clerical tasks, such as event planning and responding to emails.

  • Managing the calendar of events for the Collaboration and Innovation Center (CIC)

  • Scheduling, logistic coordination and communication for events including IT support, event set-up, support and clean up

  • Supporting event planning including meal/beverage coordination, gifts/giveaway compilation, and ordering and setting up meals for any meetings or guest visits

  • Coordinating visitors at the CIC (communication, welcome packets, greeting, office space, ensuring appropriate products (added/removed) from display cases/vending if needed to reflect customer/suppliers products

  • Processing event planning and visitor forms in accordance with standards

  • Booking accommodations for Executive Leadership Team (i.e., flights, hotels, car rentals, etc.), as needed

  • Organizing activities, menus and meals for gatherings outside of business hours

  • Contacting local hotels and negotiating preferred rates

  • Maintaining office cleanliness and inventory (i.e., organization, office supplies, visitor beverages, care and treatment of office plants, laundering of linens, etc.)

  • Assisting with administrative work (e.g., document creation, label printing, filing, data entry, etc.) as requested to support CIC and Rochester operations

  • Assisting with product sample requests from internal and external customers

  • Providing support for mail services coming to the site and shipping from the site

  • All other duties as assigned

Requirements

  • Associate degree in office administration or related field preferred.

  • At least three years of administrative and clerical experience or customer service required.

  • Experience using Microsoft Office Suite (Word, Excel, Power Point), Visio, and Outlook email and calendar capabilities.

  • Maintains strict confidentiality and protects privacy of confidential/sensitive information.

  • Exceptional time management and organization skills. Ability to manage multiple tasks and projects simultaneously establishing priorities to meet deadlines.

  • Ability to communicate effectively (verbal, written, and presentations) with executive leadership, staff, and internal and external clients.

  • Proactive; exercises sound judgment and decision making; able to identify problems and needs and develop solutions and/or options.

  • Self-confident, self-motivated polished professional who thrives in a challenging, fast-paced environment.

  • Excellent communication skills both verbally and electronically
